The Ultimate GBP Optimisation Checklist

A complete GBP optimisation checklist for Indian businesses. Every element you need to set up, optimise, and maintain — with India-specific guidance on each item.

·

Use this checklist three ways: for setting up a new profile from scratch, for a quarterly audit of a profile that already exists, and as the skeleton of a monthly management routine. Each section links to a deeper explanation if you need the reasoning behind an item, not just the item itself.

Section 1: foundation, one-time setup

Claim and verify

  • Searched for an existing GBP first, so you don't accidentally create a duplicate
  • Claimed the profile, or created one if genuinely none existed
  • Completed verification — video verification is now the default route for most new Indian listings; see GBP verification problems in India if it's stalling
  • Added the profile as a manager under the correct Business Account or Location Group

Basic information

  • Business name is the legal or commonly known name only, no keywords added
  • Primary address is physical, staffed, and customer-accessible — or the profile is correctly configured as a service-area business
  • Primary phone number matches every directory listing exactly
  • Website URL points to the right page — a location-specific page for multi-location businesses, not a generic homepage
  • Appointment or booking link added if applicable — see Google Business booking links for the setup and industry-specific options

Categories

  • Primary category is the most specific one that genuinely applies
  • All applicable secondary categories added, up to nine
  • Categories reviewed against the current Google list for anything newly added

Category selection deserves its own pass — it's the single field with the most downstream effect on everything else in this checklist. Our GBP categories guide has full industry-by-industry recommendations.

Section 2: profile completeness

Business description

  • Written, within the 750-character limit
  • Includes primary service terms and location naturally
  • No keyword stuffing, no prohibited content — outcome claims, comparative superlatives, phone numbers, or URLs
  • Updated within the last six months

Services

  • Every service listed individually, not bundled into one generic entry
  • Each service has a description, roughly 50 to 200 words
  • Service names use the words customers actually search, not internal terminology — see GBP products and services for naming examples by industry

Products, where applicable

  • Key products uploaded with photos, names, and prices
  • Catalogue refreshed within the past month

Attributes

  • Every factual attribute that applies to the category is filled in
  • Accessibility attributes completed
  • Service-option attributes completed — in-store, delivery, takeout, appointment-required, and so on
  • Payment method attributes completed
  • Health and safety attributes completed, where relevant

Hours

  • Standard hours correct for all seven days
  • Special hours added for upcoming holidays and events
  • The 24-hours flag set correctly, or removed if it's wrongly on

Photos

  • At least 10 photos uploaded
  • Exterior photo with clear signage
  • Interior photo
  • At least five product or service photos
  • Team photo, optional but a genuine trust signal
  • Brand-standard cover photo, high resolution
  • Logo uploaded

GBP photos best practices has the full photo priority order by business type, from clinics to hotels to retail.

Section 3: ongoing management, monthly

GBP posts

  • At least two posts published this month
  • At least one offer or event post if a relevant promotion exists
  • Every post has a CTA button
  • Every post has a photo attached
  • Nothing repeated verbatim from last month

See GBP posts frequency for the optimal cadence and a 12-month festival calendar, and 17 GBP post ideas for ready copy.

Review management

  • Every new review this month has a response
  • Response time stayed within 48 hours across the board
  • Regulated-industry responses were compliance-checked before publishing
  • Negative reviews received de-escalation responses with an actual resolution path, not a generic apology
  • At least one active review-generation channel is running — WhatsApp, QR, or SMS

Get more Google reviews has 21 India-specific tactics, most of them built around WhatsApp.

Profile monitoring

  • Checked for unauthorised or auto-applied edits this month
  • Any incorrect edits reverted
  • Q&A section reviewed for new questions, answered within 48 hours — see GBP Q&A management for seed questions by industry
  • Profile status confirmed as verified and published

Performance tracking

  • Pulled GBP Insights for the month — calls, directions, website clicks noted
  • Compared trends to the previous month
  • Flagged any significant drops for investigation

GBP performance insights explains what each metric actually means and what a drop usually signals.

Section 4: quarterly audit

Citation audit

  • NAP checked on JustDial, matches the canonical version exactly
  • NAP checked on IndiaMART
  • NAP checked on Sulekha
  • NAP checked on vertical-relevant directories — Practo, 99acres, Zomato, or whichever apply
  • Any discrepancies corrected
  • No duplicate listings found anywhere

Category and attribute review

  • Checked for newly available categories, added anything applicable
  • Checked for newly available attributes, added anything applicable

Photo refresh

  • At least 10 new photos uploaded this quarter
  • Outdated facility photos replaced
  • No photos showing closed areas or discontinued products

Description review

  • Description updated if services have changed
  • No newly prohibited language present

Competition review

  • Geo-grid rank checked for primary keywords
  • Top competitor profiles reviewed for review count, category, attributes, and posting frequency
  • Any significant competitive shifts noted and actioned

Ranking factors covered in this section map directly onto our full breakdown in GBP ranking factors, which explains why each one moves rank and by roughly how much relative to the others.

Section 5: annual review

  • Full citation audit across all priority directories, not just the top handful
  • GBP category list checked against Google's full updated list
  • Business description fully rewritten if the business has meaningfully evolved
  • Every photo reviewed — outdated ones removed, a current full set uploaded
  • Booking and appointment links tested and confirmed working
  • Schema markup on the website reviewed and updated
  • Local landing pages checked for NAP accuracy against the current GBP

Common mistakes this checklist catches

The most frequent failure isn't skipping a section entirely — it's doing the foundation setup once, correctly, and then never returning to sections 3 through 5. A profile set up perfectly in 2023 and left untouched since is worse off today than a mediocre setup that's been checked monthly, because categories change, competitors improve, and directory data drifts out of sync without anyone noticing.

The second most common mistake is treating suspension response as part of this checklist rather than as a separate emergency track. If a profile is suspended, stop and go straight to GBP suspension reasons — don't work through this list as normal until reinstatement is handled.

Frequently asked questions

How long does a full initial setup take? For a straightforward single-location business with all the source material ready — photos, service list, hours, descriptions — expect half a day of focused work. Verification adds separate lag time on top of that, often one to two weeks depending on the method.

Do I need to redo the whole checklist every quarter? No. Sections 1 and 2 are largely one-time, with periodic touch-ups. Section 3 is the actual monthly cadence. Sections 4 and 5 are the audits — they exist specifically so you don't have to re-derive from scratch what's drifted since the last check.

What's the fastest way to tell if a profile has been neglected? Check the last post date and the last photo upload date first. Both are visible at a glance and correlate strongly with how much of the rest of this checklist has been skipped.
